The Road Accident Fund (RAF) is currently seeking a dedicated and detail-oriented Administrative Assistant to join our Document Management Department. This role is essential for providing administrative support and will involve working closely with various stakeholders to ensure the effective management of documentation and compliance with company policies.

Purpose of the Role:

The Administrative Assistant will be responsible for facilitating day-to-day administrative functions within the department. Your contribution will help maintain an organized and efficient work environment, ensuring that all documentation processes are in line with our business goals and standards.

Key Performance Areas:

  1. Compliance Administration:
    • Maintain accurate and updated documentation pertaining to departmental activities.
    • Ensure full compliance with internal policies and process standards.
    • Stay informed about business goals and internal standards to uphold sound internal controls.
  2. Office Coordination:
    • Follow up on outstanding matters to ensure timely resolution and action.
    • Handle all requests efficiently, ensuring responses are made within established timelines.
    • Monitor and manage the availability of stationery supplies within the department.
    • Validate, verify, and accurately capture information and documents submitted for processing.
    • Keep all systems and registers updated, ensuring all records are accurate and accessible.
    • Identify and report duplicate documents, requests, and queries.
    • Allocate reference numbers and ensure correct documentation is recorded in various systems.
    • Distribute matters to the appropriate team members for further handling.
    • Draft and send correspondence to relevant stakeholders as needed.
  3. Meeting Support:
    • Arrange meetings and maintain team calendars effectively.
    • Assist in documenting meeting minutes, distributing them according to governance standards.
    • Create and maintain a register for outstanding matters to facilitate follow-ups.
    • Ensure confirmation of meetings, tracking resolutions, and monitoring outstanding issues.
    • Schedule appointments with internal and external stakeholders as necessary.
  4. Document and Records Management:
    • Administer the effective management and filing of records, adhering to the RAF filing plan.
    • Maintain an up-to-date and functional filing system for easy retrieval of information.
    • Ensure the confidentiality of all documents handled and ensure that documentation reaches intended recipients efficiently.
    • Acknowledge receipt of documentation, allocate file numbers, and accurately record data in the computer system.

Qualifications:

  • A Matric or Grade 12 certificate is required.
